Depending on your company's size and culture, you might require an additional review step before confirmed time and expenses hit the project budget. The challenge with adding in layers of review is it can quickly add unnecessary process that over-burdens your team. That's why we've built a simple way to submit and approve time and expense entries in 10,000ft, and we're making it available to all accounts today.
Companies that want to start approving time and expenses in their account can turn on the Approvals module in their account settings. Here's a closer look at how the approval process will work.
Approvals for Team Members
Submitting time and expenses for approval is fast and easy. Once there is confirmed time on your timesheet, you will see a "Submit For Approval" button that will submit all confirmed time entries on the sheet for review.
If you need to submit time for certain projects and not others, we've added a new Approval tab to the Profile page where you can select which projects you want to submit time for. This is also where you can review your approved, unapproved, and pending approval time and expenses.
Approvals for Admins & Project Managers
Anyone with an Administrator or Project Manager permission level can approve time. If you are an Approver, you will see an additional link under the Approval tab on your Profile page called "View all." This link will take you to a page where you can review and approve your team's time and expenses.
You can filter the view to show just the time sheets you are responsible for, such as for specific teams, clients, or projects. You can save multiple filters to the Approvals tab for the next time you approve time.
You'll also notice two new grouping options in reports: Approved By and Approval Status. You can use these groupings to create different reports that help you manage your approval process. Check out this video for more information on creating Approvals reports.
Turning on Approvals
Turning on Approvals for your account is easy. Navigate to your account settings page and find the Approvals Workflow section. Select if you want to enable time approvals, expense approvals, or both. It's also a good idea to review these questions about setting up your approval process with your team so that everyone knows what to expect.
